Planning a milestone birthday abroad for twenty people
Buyouts, room blocks, the dinner on the last night and the group WhatsApp you should never start. A practical guide from someone who has done it forty times.

A birthday for twenty in Tuscany or Ibiza or the Alps is a wonderful idea in January and a logistics problem by April. Having organised a few dozen of them, here is what we have learned.
Decide on the buyout question early
At fourteen rooms or more, a small hotel or a large villa can be taken over entirely. This changes everything: the staff work for your group alone, the dining room is yours, the pool has no strangers in it. It also concentrates the cost and the responsibility on the host. Below fourteen, a room block in a larger hotel is simpler and lets guests choose their own category.
One person books
Twenty guests booking their own rooms means twenty conversations with the hotel, twenty different rates and at least two people who book the wrong dates. Let us hold the block, send each guest a private link, and collect their preferences. Guests pay their own way if you want them to; the hotel sees a single booking.
The dinner
Every group trip has one dinner that matters. Book it first, before the rooms if necessary. A private terrace at a hotel, a long table in a vineyard, a beach with a fire. Then fit everything else around it.
Transport
Airports are where group trips fray. Arrivals over a nine hour window, two lost bags and one guest who booked the wrong airport. A coordinator at the destination, a fleet of cars timed to actual landings and a WhatsApp group run by us rather than the host saves the first day.
Leave the last day open
The instinct is to plan every hour. Resist it. The best moments on these trips are the unplanned ones: the swim before breakfast, the two hour lunch that nobody scheduled. Build a frame and let the days fill themselves.
